Subscription Box Plan: Can Renewals Fund the Next Minimum Order?
Plan supplier minimums, usable contents and shipment cash when subscription-box renewals decline.

Purpose & audience
Schedule subscription-box procurement from paid shipment cohorts, compatible components, supplier minimums and dated renewal cash.

A subscription box should be purchased from paid shipment demand, usable component stock and the supplier's actual due date. Recurring fees do not automatically cover a bill due two weeks earlier. Falling renewals can leave the business contribution-positive while supplier minimums absorb cash into stock that the next assortment cannot use.
Separate subscribers, paid boxes and deliveries owed
Start each shipment with the eligible renewal cohort. Reconcile renewals collected, pauses, cancellations, failed payments, new paid starts and refunds; then identify the complete boxes still owed. A sign-up is not a paid box, and a paid multi-shipment plan is not permission to spend all its cash on acquiring more subscribers.
Track contents as components before reducing them to a cost per box. A missing item can block fulfillment even when total stock value looks ample. Test compatibility with the next assortment and actual usable life; leftovers are useful only if they can be delivered as promised. Keep acquisition spending on the customers it brings rather than charging every renewal the same assumed new-customer cost.
Keep fulfillment quotes tied to their shipping period
USPS Postal Explorer's finalized 2026 price files specify a temporary pricing period from October 4, 2026 through January 17, 2027. Its Ground Advantage guidance bases prices on package weight and zone and identifies dimensional and non-standard pricing considerations. These are reasons to measure the packed box and date the quote, not a recommendation of a carrier or support for this guide's $8 packing-and-shipping assumption. Check the service, origin/destination mix, package dimensions, actual account terms and date of every seasonal dispatch.
Follow three shipments under a supplier minimum
Original assumptions, in dollars: each paid delivered box sells for $35. One complete contents set costs $12, and the supplier contract in this case requires a new 120-set purchase every month, even if old sets remain. Packing and shipping cost $8 per delivery; campaign and service commitments are $700 per month. Paid deliveries fall from 100 to 80 to 60, with no other sales or costs. Dispatch capacity is 100 boxes per month. All unused contents remain compatible and usable across these three shipments.
| Measure | Month 1 | Month 2 | Month 3 |
|---|---|---|---|
| Paid and delivered boxes | 100 | 80 | 60 |
| New sets purchased | 120 | 120 | 120 |
| Ending usable sets | 20 | 60 | 120 |
| Selected contribution after consumed contents, fulfillment and $700, $ | 800 | 500 | 200 |
| Contents purchase cash, $ | 1,440 | 1,440 | 1,440 |
| Net cash movement, $ | 560 | 20 | -520 |
Month 3 contributes $200 on delivered boxes but adds 60 usable sets costing $720 to inventory. That increase explains negative $520 cash movement. Over all three months, contribution totals $1,500 while net cash movement totals only $60; the $1,440 difference is the 120 sets still held. Do not deduct that stock as consumed and also retain it as inventory. If part is unusable, recognize that different cost outcome and stop relying on it for future fulfillment.
Show the bank before the renewal money arrives
Add an explicitly assumed $3,000 unrestricted opening bank balance. Pay each $1,440 supplier bill fourteen days before that month's customer receipts. Pay packing, shipping and the $700 commitment after those receipts. No credit, borrowing, other bills, tax, fees or refunds are assumed in this calendar.
| Measure | Month 1 | Month 2 | Month 3 |
|---|---|---|---|
| Bank before supplier payment | 3,000 | 3,560 | 3,580 |
| Bank after $1,440 supplier payment, before fees arrive | 1,560 | 2,120 | 2,140 |
| Customer receipts | 3,500 | 2,800 | 2,100 |
| Packing/shipping and other selected payments | 1,500 | 1,340 | 1,180 |
| Closing bank | 3,560 | 3,580 | 3,060 |
The first cycle adds $560, which by itself is $880 less than the next $1,440 supplier bill. It is not the whole bank: under these opening-cash assumptions, the second bill leaves $2,120 before renewal receipts. Distinguish cash generated by one cycle from available company funds.
If you choose a $1,500 minimum bank floor for this calendar, the first supplier payment leaves only $60 above it. Opening funds of $2,940 would be needed to retain that floor immediately after the first bill. This is a selected operating constraint, not an industry reserve standard or evidence of full-business funding. If the first renewal receipts are delayed until after the $1,500 delivery/service payments, bank cash instead falls to $60 before the receipt; the same eventual contribution does not solve that earlier shortfall against the chosen floor.
Change procurement only when the terms and assortment allow it
Compare the existing monthly minimum with a documented revised order, a different delivery schedule or a compatible assortment change. Do not simply subtract the 120 old sets from an enforceable new 120-set commitment. A reduced purchase may have a higher unit price, freight minimum or lost supplier availability. Put each agreed alternative on the same renewal and dispatch calendar.
Before committing, inspect a component-level stock count, eligible paid cohort, promised shipment list, packed-weight sample and dated supplier/carrier quotes. Stress fewer renewals, a late fee collection and one missing component separately. Keep customer service, refunds, owner cash and the rest of the business budget alongside the shipment contribution; none is paid by stock at cost.
The separate Subscription Box Financial Model page describes the selected product. Its broader subscriber and tier forecast needs this procurement calendar alongside it. The prices, renewal path, capacity and cash floor above are original planning assumptions, not market retention benchmarks or delivered-workbook results.
Scope & limitations
Original three-shipment scenario with mandatory new 120-set monthly orders and compatible leftovers. Renewal demand, costs, opening cash, chosen floor and dispatch capacity are assumptions; fees, refunds, tax and finance are excluded.
