Print Shop Plan: Does the Quote Cover Each Setup and Fit the Press?
Quote print work from distinct setups, piece costs and the resource hours available before delivery.
On this page

Price the number of distinct print jobs as well as the pieces. A setup charge can recover a job-level cost, but it cannot make an overbooked press deliver the same deadline.
The same thousand pieces can use four times the press hours
Original assumptions, $ per comparison window. Price is $2 per piece, paper/ink $0.60 and finishing $0.20. Each distinct job costs $80 to set up. Other commitments are $300. Press time is one setup hour per job plus 0.002 running hours per piece, with ten hours available. Other resources and fees, tax, finance and equipment are excluded.
| Measure | One 1,000-piece job | Ten 100-piece jobs |
|---|---|---|
| Receipts | 2,000 | 2,000 |
| Piece-dependent cost | 800 | 800 |
| Setup cost | 80 | 800 |
| Result after $300 | 820 | 100 |
| Press hours | 3 | 12 |
The ten-job result is quote arithmetic, not a feasible ten-hour delivery plan. Even a positive result does not fix the two-hour shortage. Proof changes and reprints can add further setup/time without another paid piece.
Separate the setup price from the capacity decision
Suppose the quote also collects $80 per distinct setup, with the same piece price and costs. Ten small jobs then add $800 receipts and leave $900 after selected costs, but still need twelve hours. Customer acceptance of that charge is not assumed.
Eight 100-piece jobs need 9.6 hours. With the added setup charge they collect $2,240, pay $640 piece costs plus $640 setup costs and $300 commitments, leaving $660. Without the charge they leave only $20. The narrow press fit still needs actual approval, finishing and dispatch checks.
Fund paper and setup before the balance arrives
Use the customer's actual advance and final-payment terms, supplier dates and approved specification. A quote does not fund its material purchase before collection. Confirm which jobs can genuinely share setup rather than applying a blanket piece margin.
Track approvals and setups as well as pieces
Give each distinct artwork, stock and finishing specification a job identifier. Record its paid pieces, setup charge, approved proof, committed press slot and dispatch condition. Several small orders share a setup only when the operator confirms that their specification and timing genuinely allow it; the same piece count is not evidence of a common setup.
Keep revisions and reprints against that original job. Separate a customer-approved paid variation from correction work included in the price, and update both occupied press hours and remaining material before promising a deadline. An additional setup fee can recover a cost while leaving the same physical schedule infeasible.
Before buying paper, reconcile the deposit already received with its remaining customer balance, supplier due date and approval risk. Show completed, accepted, dispatched and collected units separately where those events differ.

Scope & limitations
One assumed approved specification and selected press resource. Design, proofs, finishing, rework, delivery, fees and other constraints need actual evidence.
