Event Venue Plan: Does a Weekday Package Block the Better Booking?
Choose venue packages using their whole occupied calendar block and incremental contribution.
On this page

A venue sells usable blocks of space, not just the hours guests attend. Include setup and teardown before offering a discounted date; an apparently empty weekday may already support a more valuable booking.
Compare the actual alternative
Original assumptions, $ per booking. A weekday package sells for $3,000, costs $1,700 to deliver and needs $400 setup/marketing. Its setup, event and teardown occupy three days. A credible alternative weekend event sells for $5,000 with $1,800 avoidable delivery cost. Only one event can use the overlapping space.
| Measure | Genuinely free block | Displaces weekend event |
|---|---|---|
| Weekday contribution | 900 | 900 |
| Forgone weekend contribution | 0 | 3,200 |
| Incremental result | 900 | -2,300 |
The same weekday booking can therefore add $900 or reduce contribution by $2,300. Standing property costs are unchanged and excluded from this incremental comparison; the whole venue must still cover them.
A tentative lead is different from an accepted alternative
Use the opportunity cost only for a feasible alternative the calendar could actually serve. If the weekend event is merely an uncertain lead, keep that uncertainty in a separate demand scenario rather than booking its full fee as guaranteed revenue. Record when a hold expires and when the weekday commitment becomes irreversible.
Deposits fund delivery obligations
Assume 30% of the weekday fee is received at booking: $900. All $2,100 of its costs are paid before the remaining $2,100 receipt on day 14. The selected funding gap is $1,200. Final contribution is still $900, but the advance receipt did not fully fund service.
Use written cancellation and supplier terms; do not assume deposits can be retained or spent without the related obligations. Reserve the full setup-to-restoration calendar and obtain actual staffing/turnaround estimates. The Event Venue Financial Model builds event volumes, ticket/booking prices, ancillary income, costs and investment into the broader venue plan.
Scope & limitations
Assumed bookings and avoidable costs only. Actual guest limits, contract terms and feasible setup windows need qualified verification.
