Catering Plan: When Do Extra Guests Pay for Another Crew and Vehicle?
Price an enlarged catering event after its complete staffing and transport step.
On this page

A larger catering booking can contribute less until enough guests cover the extra crew and transport. Price the resource step before agreeing the guest-count change, and tie the customer's confirmation deadline to supplier commitments.
Guest 101starts a cost step in this illustration
Original assumptions, $ per event. Each confirmed billable guest pays $40 and uses $15 of food. Up to 100 guests, labor costs $800 and one vehicle $200. Above 100 guests, another $300 crew commitment and $200 vehicle are required. Assume the verified kitchen can serve 160 meals and two available vehicles each carry 100.
| Guests | 100 | 101 | 120 | 140 |
|---|---|---|---|---|
| Sales | 4,000 | 4,040 | 4,800 | 5,600 |
| Food | 1,500 | 1,515 | 1,800 | 2,100 |
| Labor and vehicles | 1,000 | 1,500 | 1,500 | 1,500 |
| Event contribution | 1,500 | 1,025 | 1,500 | 2,000 |
The 101st guest adds $25 before a $500 step, reducing event contribution by $475. Twenty additional guests cover the step; guest 121 first increases contribution above the 100-guest case. At 140 guests the net improvement is $500, not the $1,000 suggested by food margin alone.
A larger deposit may still leave a larger gap
Assume 30% of the full fee is received before procurement, all event costs are paid before service and the balance arrives two days later. The 100-guest case needs $2,500 payments less $1,200 deposit, or $1,300. The 140-guest case needs $3,600 less $1,680, or $1,920. The deposit grows, but selected funding still rises by $620.
Confirm what is billable, what must be prepared and the last date a guest change can alter staff or rental costs. A later guest reduction does not automatically remove an already committed second vehicle. Record actual waste and rental-return obligations separately.
Use the complete event block, including preparation, travel and restoration, when checking overlapping bookings. The selected Catering Financial Model is the seller's Catering Service model, providing the broader cover/check, staffing, cost and investment forecast.
