Car Rental Plan: Do Paid Vehicle-Days Cover Fleet Payments?
Set a fundable rental-day target within actual vehicle availability and financing dates.
On this page

A rental-day target must fit the available fleet and cover scheduled vehicle payments. A positive operating result before financing does not show the cash left after those obligations or the money required for another vehicle.
Use the correct day inventory
Original assumptions, $ for one 30-day month. Five vehicles provide 150 fleet calendar days. Ten unavailable days and fifteen reserved turnaround days leave 125 available days. Each paid vehicle-day receives $55 and costs $11 in selected variable cash. Standing operating payments are $2,400 and financing payments $1,200. New fleet purchases, tax and other unlisted charges are excluded.
| Measure | 75 paid days | 100 paid days |
|---|---|---|
| Share of 125 available days | 60% | 80% |
| Receipts | 4,125 | 5,500 |
| Variable payments | 825 | 1,100 |
| Cash after operating commitments | 900 | 2,000 |
| After financing payments | -300 | 800 |
At $44 per paid day, the selected $3,600 operating and financing payments require 82 whole paid days. That is 65.6% of available days but 54.67% of installed calendar days. Keep the denominator visible. The financing amount is a cash obligation, not an additional operating-expense label.
More downtime raises required utilization without adding receipts
If another 25 days become unavailable, only 100 remain. Holding the 100-paid-day target now requires 100% of available days, leaving no spare available day in the aggregate plan. Check the actual vehicle types and booking overlaps; an empty day on one vehicle cannot satisfy demand for another vehicle on another date.
Reconcile the fleet cash before expanding
Date rentals, settlements, maintenance, refundable deposits, finance payments and acquisitions separately. Deposits are not another rental sale. Reconcile purchase cash, loan proceeds and repayments so the same financed amount is not counted twice. Expected resale is a separate assumption, not automatic purchase funding.
The Car Rental Financial Model provides the broader stream-volume, price, cost and investment forecast. Its advertised rental-contract unit needs an explicit duration/price bridge to this vehicle-day capacity case.
